It is the company's responsibility to ensure the accuracy and completeness of their roster prior to the selection period. This includes, but is not limited to, the following:
- Providing each employee's legal name
- Ensuring correct spelling
- Verifying the accuracy of Social Security Numbers (SSN), Employee ID, or any unique identifier
- DOT requires SSN to be used
As the C/TPA for your company, we will reach out before every selection to confirm your roster is up to date and/or make any changes needed prior to the selection period. This includes, but is not limited to, the following :
- Correcting Spelling
- Adding or Removing Employees
- Changing an employee’s pool
While we strive for accuracy when updating your roster, mistakes can happen. Please double-check all details to ensure correctness.
Requesting Roster Updates :
Shortly before each selection period, we will send over a password protected spreadsheet with the current roster we have for your pool(s). To make any changes, we ask you to follow the steps below. (No need to memorize these steps—our team will include detailed instructions in every roster confirmation email we send.)
- Highlight the employee’s name on the spreadsheet as you see in the image below:
- Use red for removals
- Use yellow for additions
- For corrections to an employee’s information, please add a comment on or next to that employee
- For new employees, provide their full SSN or employee ID. Updates cannot be processed without this information.
After all changes have been made to your roster, our team will send you a confirmation email which will include a copy of your updated roster.

Best Practices :
Keep an ongoing spreadsheet on your end that you can add and remove employees to as needed. When keeping this list, make sure to date changes to filter easier.
Roster updates can be done at any time. This means as employees join or leave your company, you can email our team to update the roster. We highly encourage all employee information to be provided to us in a password protected document.
